Sales Orders in PrintVis


A Sales Order can only be created for an existing customer in the customer database and it can get shipped only into 1 location.
Sales Order can include G/L Accounts, Inventory Items and “Item charges”.
This document is not looking into G/L accounts and “Item Charges”.
With inventory items, there usually are 3 different scenarios:

1. All items are pulled from inventory.

2. All items are produced first: we start a PrintVis Order wight from within the sales Order.


PrintVis Case will get the production details from a template attached to a Finished Good Item.
Once an item has been produced, we “Release Finished Goods” into inventory and then ship the items via the Sales Order.


3: Split: some items are pulled from inventory, some are produced. When everything is ready, we ship the sales order.

Sales Order – “general” fast tab

Make sure you choose the correct Customer Name

Set Due Date, Requested Delivery Date

Order Date: Leave as is.

Document Date & Post Date: Changed before you post the inventory
External Document No.: usually place customer’s P.O. Number there
Salesperson Code: enter salesperson’s code
Order Type – set as needed
Status Code: set to Order

Sales Order – “lines” fast tab
Type: Item
No.: enter item number
Location Code: only if needed – so that we can place an item somewhere once it has been produced
Quantity: enter whatever is needed
Tick-off the “Production Order” checkbox for every item to be produced. This will generate a separate PrintVis Order for each item.

Shipping from the Sales Order:

1. Change the Posting Date to shipping date.

2. Make sure that the sales rep code is setup before posting.
3. Check that Qty. to ship is correct
4. Under shipping and billing, change the Shipment Date to the correct date.
5. Fill the Shipment Method (Agent, Agent Service, Package Tracking No.)
6. Make sure the subtotal amount equals to the PO.
To post the shipped inventory against the SKUs, open the sales order and click Post > Ship.
Can also ship and invoice right away.

Creating a PO from the Sales Order:
To replenish item inventory, we can start a PO from the Sales Order.
(Actions – create purchase orders – adjust the quantity and select a vendor)

We can then receive a PO into inventory and then process the Sales Order.

 

Releasing Sales Order 

 

After we have selected our item info on the line here, we have the option to release the document.

This will mean that the document will be moved to the next stage of processing and will no longer be edited. 

 

Exercises:

1. Create a “finished good” item. Use Item Journal to add some “quantity on hand”. Create and ship a Sales Order.
2. Create a Sales Order, add a “finished good” item, then enter a higher than what we have quantity.
3. Create a PO from within the Sakes Order. Receive a PO and ship the Sales Order.

4. Make sure that our “finished good” item has a template attached.
5. Create a Sales Order, add an item then enter a higher than what we have quantity.
6. Start a Production Order from within the Sales Order.
7. Produce and item, use “Release Finished Goods” to place into inventory, ship the Sales Order.
